Organizing, editing, and coordinating meetings and events within Microsoft Teams calendars
Dear @Chris H,
Good day. Thank you for posting your question in the Microsoft Q&A forum!
According to your description, I understand how important it is to organize and filter shared calendars effectively, especially when categories are already in use.
In this case, I would like to clarify the current behavior in Microsoft Teams regarding calendar categories.
At this time, calendar categories are user-specific, not calendar specific. While category names applied to meetings in a shared or Teams-connected calendar may be visible, the category definitions and therefore category filter options are stored in each individual user’s mailbox. As a result, categories do not automatically appear in the filter list for other users who are viewing a shared calendar.
To enable filtering by category, each user will need to manually create the same categories in their own Outlook category list. Once a category exists locally, it will appear as an available filter option, and meetings tagged with that category will display correctly.
Many organizations address this by standardizing a fixed list of category names and asking users to add them once in Outlook. After that, category-based filtering works consistently for everyone.
I understand this may not fully meet your expectations, and I apologize for any inconvenience this design limitation may cause. Your feedback is valuable, and I encourage you to submit it via Teams > Feedback > Suggest a feature, as feature requests are reviewed by the product team.
Your feedback has been duly noted and is highly valued, as it provides with essential insights to continue improving and refining the products and services in the future.
