Why can't I make changes to Word documents on my Mac?

Why is it that I always have issues with Microsoft applications?

Every other company - want to use the product you've paid for on another device, no problem. Just sign in.

But with MS. oh no. You've got to sign in a thousand times to get to the point where you can actually use your account but then you're told, sorry, but your subscription doesn't allow you to make changes on your Mac.

Hang on a minute. I have a family account that allows me to have 5 users with up to 5 devices each.

So, what is going on? No idea. Sign into my MS account but there is no information on my 365 dashboard.

Okay, so let's speak to someone about it. Sure, but you will need to sign in again. Brill. Done.

Can I speak to some one?

No, you have to try and find an answer amongst the millions of queries that others have made. None of which are relevant.

So, now I am here. Can anyone help?

I have downloaded Word onto my Mac. I have signed into my account. But I can't make changes to Word files because my account doesn't support it, even though it does.

Then when I log into my account dashboard, there is nowhere to check my 365 subscription.

I have now wasted nearly half a day trying to make changes one Word doc.

Any help much appreciated.

    Hi, Alex

This usually means Word on the Mac is not seeing the right editing entitlement, even if the Microsoft 365 Family subscription is valid. It can also happen when the document itself, OneDrive, or the Mac’s saved Office state is blocking editing rather than the subscription being the real problem.

Here are some suggestions you can try:

First, open Word and go to Word > About Word. Check whether it says the product is activated and whether there is an Update License option under the Word menu or account area. If you see Update License, use that and sign in again with the Microsoft account that owns or was invited to the Family subscription.

If the file is stored in OneDrive, try File > Save a Copy and save it directly to your Mac, such as Desktop or Documents. Then close the original and open the local copy. It isrecommended that this is a quick way to rule out OneDrive sync, permissions, or cloud locking problems.

Also check whether Word itself is opening the file as read-only. In Word, go to File and see if Always Open Read-Only is ticked. If it is, untick it and reopen the document.

If the same document is open on another computer, phone, tablet, or browser tab, close it there first. Word can sometimes behave as if editing is blocked when the file is still open elsewhere.

Finally, go directly to Microsoft account services rather than the general dashboard. The normal dashboard can be confusing, but the Services page should show whether Microsoft 365 Family is attached to that exact account.

Thank you for your patience in reading, I hope this information has been helpful to you.

The behavior described matches Office for Mac running in reduced functionality mode because the subscription that Word is using either:

    • Is not a plan that includes the desktop apps, or
    • Is not correctly assigned/activated for the signed-in account on the Mac.

To fix this, use these checks and steps in order.

    1. Confirm the subscription actually includes desktop apps

From the description, the expectation is a Microsoft 365 Family (or similar home) subscription, which does include Word for Mac. However, issues like this often occur when the active subscription is actually:

    • Microsoft 365 Basic – this does not include desktop apps like Word; it only provides OneDrive storage and access to web apps.
    • A business plan such as Microsoft 365 Business Basic – this also only covers web and mobile apps, not the desktop apps.

If the subscription is one of these, Word on Mac will stay in view-only mode and show messages that editing is not allowed.

    1. Make sure the correct license is assigned (for work/school accounts)

If using a work or school account, the account must have a license that includes desktop apps assigned to it:

    1. An admin signs in to the Microsoft 365 Admin Center and goes to Users > Active users.
    2. Select the user.
    3. In Licenses and Apps, expand Licenses and ensure a license that includes Microsoft 365 Apps is checked.
    4. If it is already assigned, uncheck it, save, then re-check and save again to refresh the assignment.

If no suitable license is assigned, Word will not activate and will remain read-only on the Mac.

    1. Sign out of Office on the Mac and sign back in with the right account

If the correct subscription exists and is assigned, the Mac may be signed in with the wrong account (for example, a different personal Microsoft account or a work/school account without apps):

    1. Open Word on the Mac.
    2. Select the name/profile icon at the top and choose Sign out.
    3. Close Word.
    4. Reopen Word and select Sign in.
    5. Sign in with the account that actually holds the Microsoft 365 subscription that includes desktop apps (for home: the Microsoft account that owns the Family/Personal subscription; for work/school: the licensed work/school account).
    6. Try editing again.
    7. Clear old license data on the Mac

If the Mac has cached an old or incorrect license (for example, from a previous subscription or account), Word can continue to think the account does not allow editing. In that case, remove the old license files and re-activate:

    • Follow the steps in How to remove Office license files on a Mac to run the Mac license removal tool, then restart Word and sign in again.
    1. Reinstall Office for Mac if needed

If license removal and re-sign-in do not resolve it, reinstalling can clear out corrupted activation state:

    1. Uninstall Office for Mac following Uninstall Office for Mac.
    2. Reinstall using Download and install or reinstall Microsoft 365 or Office 2021 on a PC or Mac.
    3. Open Word and sign in with the account that owns the correct subscription.
    4. If the apps came from the Mac App Store

If Word was installed from the Mac App Store, it requires a Microsoft 365 subscription to create and edit documents. One-time (perpetual) Office licenses do not work with Mac App Store builds. If using a one-time license, install Office directly from Microsoft instead of the Mac App Store.

If the subscription was purchased through Apple, error code 1303 or similar issues can occur when the purchase is tied to a different Microsoft account than the one currently signed in. In that case:

    1. Sign out of the Office app.
    2. Sign in with the Microsoft account used at the time of purchase.
    3. Use Restore previous purchase for Office for Mac as described in the referenced article.
    4. Check that the subscription is active and not expired

If a subscription has expired, Word will go into reduced functionality mode and prevent editing. Renewing the subscription restores editing capability. This is a common cause when editing suddenly stops working even though it worked previously.
