    Hello @waiho chan,

Thank you for the additional details, that helps clarify what’s happening.

From your description, it sounds like your tutor is sharing the PowerPoint directly from Teams. This is not related to you having other apps open (like Word or Gmail), so you don’t need to worry about that.

Please ask if your tutor is using the PowerPoint Live feature in Teams? This further confirmation will help me find the most suitable solution to your issue.

In the meantime, you and your tutor can try Clearing the Teams desktop cache, which can help remove any stale or corrupted local data:

    On Windows:

    • Navigate to your Taskbar and look for the Microsoft Teams icon. Right-click the icon and choose Quit. This will force the Teams app to quit.
    • Next, copy and paste the following location into File Explorer: %appdata%\Microsoft\Teams, and delete the contents of the entire folder.
    • Restart Microsoft Teams by opening the application and logging back in.

    On a Mac:

    • Right-click the Teams icon in the taskbar and choose Quit.
    • Next, delete the directory ~/Library/Application Support/Microsoft/Teams.
    • Restart Microsoft Teams by opening the application and logging back in.

Note: Deleting the cache won't remove Microsoft Teams from your device, but will remove the web client cache, icons, thumbnails, local message history, your Teams display images, and any other Teams add-ons.

Additionally, I would suggest asking your tutor to open the PowerPoint on their computer first, then share their screen or the PowerPoint window instead of selecting the file directly in Teams. This tends to be more stable because it shows exactly what the presenter sees.

It may also help for both of you to fully restart Teams and make sure you are running the latest version of the app, as these kinds of issues can sometimes be caused by temporary glitches or outdated versions.

If possible, try testing with another PowerPoint file as well. If it only happens with one file, the issue might be specific to that file.

Please let me know how it goes or if you notice anything different, and I’ll be happy to continue helping.

    Hello @waiho chan,

    Thanks for sharing your question.

To help us provide the most accurate and effective solution for your issue, could you share a bit more detail about your setup? For example:

    • What exactly happens when your tutor tries to share the file?
      • Is the file greyed out, not selectable, or nothing happens?
      • Or do you see a blank/black screen during sharing?
    • What type of file are they trying to share? (e.g., PowerPoint, PDF, Word, Excel)
    • Are they trying to:
      • Share the file directly from Teams, or
      • Open the file first and then share their screen/window?
    • Is the “Share” button available, or is it disabled?
    • Are both of you using the Teams desktop app or browser (Edge/Chrome)?
    • What are the affected operating systems (Windows, MacOS, iOS, Android,...)?

These details will help determine whether it’s a file type limitation, a meeting permission setting, a screen sharing/technical issue or else.

I apologize if I could not jump straight to a solution. I want to avoid suggesting anything that might be inaccurate or unhelpful. Once I have the details above, I’ll be able to assist you more effectively and guide you toward the right resolution.

Once you provide this info, I’ll be happy to guide you with a more precise solution. Looking forward to your response so we can get this sorted out for you together.

In a Microsoft Teams for Education meeting, the tutor can share files by sharing the screen or by sharing the file directly in Teams. To see the file on the screen during the meeting, the tutor should:

    1. In the meeting, select Share content on the meeting toolbar.
    2. Choose how to present:
      • Desktop to show the whole screen and switch between apps.
      • Window to show only one app (for example, Word or PowerPoint).
      • PowerPoint to present a slide deck so students can view the slides. The tutor can control the slides or let students move through them.
      • Whiteboard to show a collaborative canvas.
    3. When finished, select Stop presenting.

If the tutor wants to share the file itself (so it can be opened later, not just viewed on the screen), they can:

    1. Go to the class channel (for example, General), select Start a post > Attach and upload the file. It will appear in the Posts thread and in the Files tab.
    2. Put important, read‑only documents (like syllabus or rules) in the Files tab > Class Materials folder so students can open but not edit them.

If the tutor follows these steps and the file still does not appear on the screen, they should confirm they selected the correct Desktop/Window/PowerPoint option and that the meeting is running in Microsoft Teams (not another app).
