Setting up future meetings with participants using Teams calendar or Outlook integration
Dear @Tom, Stacie - Consultant,
I understand you want to add agenda items before your meeting starts so that the Facilitator agent can recognize and track them.
The Facilitator agent in Microsoft Teams does not have a standalone interface for pre-loading agendas. Instead, it is designed to automatically scan and pull the agenda from your existing meeting details before the session begins.
To add agenda items prior to the meeting, you can use either of the following official methods:
Method 1: Use the Built-In Loop Component
- Go to your Teams Calendar, open your scheduled meeting invite, and click Edit.
- Scroll to the bottom of the invitation and select Add an agenda others can edit.
- Type your agenda items directly into the agenda section of the Loop component that appears.
Facilitator reads this Loop component natively and will automatically display these items on a visual timeline/timer when the meeting starts.

For the best experience, turn on the Facilitator agent when you schedule the meeting. To do this: go to your Calendar > New Event > Meeting options > find Facilitator under "Copilot and other AI" and toggle it On (If this button is marked as "cannot be selected," its usage may be restricted by the organization's administrators). This ensures the agent is ready to go the moment the meeting starts.
