Setting up future meetings with participants using Teams calendar or Outlook integration
Co-organizers can only be assigned to and manage breakout rooms if they are presenters in the organizer’s organization and have been appointed as breakout room managers. Simply being a co-organizer does not automatically make them available for pre-assignment.
To allocate them to breakout rooms before the meeting, ensure the following:
- They are part of the organizer’s organization (not external/guest or Teams (free) accounts).
- They are added to the meeting invite as participants.
- The organizer (or an existing breakout room manager) creates the breakout rooms first.
- In the meeting’s Breakout rooms settings (Teams desktop app → Calendar → select meeting → View event → More options > Breakout rooms), the organizer appoints them as breakout room managers.
- After that, they should appear in the participant list for assignment to rooms when using Assign participants.
If they are external, guests, or using unsupported accounts, they will not be available for pre-assignment to breakout rooms.
